Administrative Assistant
GENERAL DESCRIPTION OF WORK
The Administrative Assistant provides essential administrative, office management, and clerical support
to the Town Manager. This role also serves as a point of contact for public inquiries. This role is central to
ensuring the smooth operation with customers. It involves financial record-keeping, utility
administration, and coordination of various town services.
TYPICAL TASKS
Administrative Support & Office Management
• Assist the Town Manager with correspondence, routine communications, and scheduling meetings.
• Maintain office records, manage supplies, and operate office equipment.
• Open, sort, and distribute mail; answer phones, direct calls, and take messages.
Financial & Utility Management
• Process payments, balance the cash drawer, and prepare daily bank deposits, and perform accounts payable.
• Support utility staff administratively with certain required reports.
• Assist with grant preparation certain administrative functions.
Public Engagement & Event Support
• Respond to public inquiries and maintain positive community relations.
• Support marketing strategies through social media and other communication channels.
• Assist in planning, promoting, and providing information for town events.
• Manage schedules for facility rentals, maintaining related records.
Zoning & Permitting Support
• Assist the Town Manager with the administration of zoning permits.
Other Duties
• Occasional backup for Town Clerk for meetings minutes.
• Perform other reasonable tasks as assigned by the Town Manager.
PHYSICAL REQUIREMENTS (ADAA)
• Must be able to lift and carry objects weighing up to 20 pounds.
• Requires the ability to sit for extended periods while performing office tasks.
• Frequent use of a keyboard, computer, and other office equipment for prolonged periods.
